Hospitality

 

Hospitality is responsible for arranging for food and drinks during the trial. For breakfast you list everything needed including perishables like coffee, muffins, juice, and other morning food items. You also list all of the nonperishable items such as cups, napkins, plates, etc. You can arrange for lunches any way that seems appropriate; picking up to go items, preparing salads and providing sandwich makings, bringing in a caterer, arranging for delivery.

 

  • Determine what supplies need to be purchased; coffee, tea, cocoa, sugar, etc. Be sure to purchase some Diet Dr Pepper.

     

  • Estimate the number of lunches needed for workers, trial committee, and Judges.

     

  • Decide what to have for the continental breakfast.

     

  • Get the estimated number of volunteers from the Chief Ring Steward and estimate how many drinks/snacks are needed for the volunteers.

     

  • Find out what each judge prefers for drinks, snacks, and lunch.

     

  • Place the order for lunch items.

     

  • Each day of the trial:

     

    • Make coffee.

       

    • Set out breakfast items and supplies.

       

    • Arrange ice chest and drinks. It's good to have one ice chest for diet drinks, one for regular drinks, and one for water.

       

    • Fill smaller ice chests with each Judge's beverage selection and water and take them to ringside.

       

    • Check coffee and tea levels throughout day and make more as needed.

       

    • Refill ice chests with drinks and ice as needed.

 

 

 

 

Judge's Hospitality

 

The individual handling Judge's Hospitality is responsible for assisting the Judges in making their arrangements once they have accepted the assignment. This includes making hotel reservations, making travel arrangements (or seeing that the Judges do so in a timely manner), arranging to pick up or drop off at the airport if necessary. Their goal is to take care of the Judges.

 

  • Contact Judges and find out their anticipated travel arrangements.

     

  • Make hotel reservations according to the Judges' preferences (smoking/non-smoking, etc).

     

  • Confirm both travel arrangements and hotel reservations with airlines, hotels, and Judges.

     

  • Arrange for Judge's transportation to/from the airport, to/from their hotel, and to/from the trial grounds during the trial.

     

  • Find out what each Judge prefers for drinks, snacks, and lunch.

     

  • Ensure that there is a table, chair, beverages, and shelter available for the Judge's at ringside.

     

  • Have someone get the lunches for the judges.

     

  • Arrange for the Judges' dinner by getting a head count of those attending and making reservations at a nearby restaurant.

     

  • Arrange for Judges' transportation to/from dinner.

     

  • See to any other Judges' needs as they arise.
